How to Write an RFQ That Gets Comparable Supplier Quotes

Use a clear request for quotation template covering specifications, quantity, delivery, pricing, compliance, packaging, samples, and quote validity.

A good RFQ makes suppliers answer the same commercial and technical question. If each supplier assumes a different material, packaging method, freight term, or quality level, the resulting prices cannot be compared.

RFQ information suppliers need

Describe the intended outcome and attach the controlled specification. Mark mandatory requirements separately from preferences so suppliers can propose useful alternatives without silently changing the product.

  • Product name, drawings, revision, dimensions, materials, color, finish, performance, and tolerances.
  • Estimated and firm quantities, order frequency, sample quantity, and acceptable MOQ.
  • Destination, required delivery date, requested Incoterms rule and named place, and whether split delivery is acceptable.
  • Packaging, labeling, barcode, pallet, documentation, testing, and certification requirements.

Ask for a complete price breakdown

A single unit-price field hides setup and logistics differences. Ask suppliers to show tooling, samples, unit tiers, packaging, testing, export charges, freight if quoted, taxes or duties if included, and payment schedule.

  • Currency and period for which the quote is valid.
  • Production lead time measured from a defined trigger such as deposit and approved sample.
  • Capacity available during the proposed schedule.
  • Warranty, defect remedy, cancellation, and change-order assumptions.

Make responses easy to compare

Provide a response table and require suppliers to list every deviation. Give a deadline and one clarification channel, then share material clarifications with all shortlisted bidders when fairness matters.

  • Use the same quantity breaks and delivery basis for every supplier.
  • Require 'complies', 'does not comply', or a stated exception for each key requirement.
  • Score quality, risk, delivery, service, and landed cost—not only unit price.
